The KidLit Fest Volunteer Terms and Conditions
By agreeing to volunteer at The KidLit Fest, the volunteer and their parent/guardian understand and accept the following terms:​

1. Volunteer Role and Responsibilities

Volunteers will assist with tasks such as registration, ushering, activity setup, support during sessions, and general coordination.

Volunteers are expected to arrive on time, follow instructions, and complete assigned tasks to the best of their ability.

2. Supervision and Safety
-
All volunteers under 18 will be supervised by a designated adult team member at all times.

Volunteers must follow all safety guidelines and report any issues to a supervisor immediately.

3. Conduct and Behaviour
-
Volunteers must treat all guests, team members, and fellow volunteers with respect and kindness.

Disruptive, unsafe, or disrespectful behaviour may result in dismissal from the volunteer programme.

4. Attendance and Commitment
-
Volunteers are expected to attend their scheduled shifts. If unable to attend, advance notice must be given.

Consistency and reliability are valued, and we ask that volunteers take their commitment seriously.

5. Media and Publicity
-
Volunteers may be photographed or filmed during the event. These materials may be used by The Kid Lit Foundation for documentation, promotion, or educational purposes.

6. Health and Emergencies
-
In case of illness or injury during the event, The KidLit Fest team will provide appropriate first aid and contact the parent/guardian promptly.

Volunteers must inform the organisers of any relevant medical conditions before the event.
​
7. No Employment Relationship
-
Volunteering at The KidLit Fest is an unpaid, voluntary activity and does not create an employment relationship.

Volunteers may receive a certificate of service or appreciation upon request.

By signing the consent form, the parent/guardian and volunteer acknowledge that they have read, understood, and agreed to these terms and conditions.

All participants, guardians, volunteers, and partners are required to review and adhere to the provisions outlined in our Child Protection Policy. Spelling Bee Terms and Conditions
​By registering for The Kid Lit Foundation’s Spelling Bee, all participants, parents/guardians, and schools agree to the following terms and conditions:

1. Eligibility

Age Requirement: Participants must be 16 years of age or younger as of the event date (December 6th, 2025).

Individual and School Participation:
-
Individual Participants: Open to children aged 6–16 who wish to compete on their own.

School Representatives: Schools may register one or more students to represent them in the Spelling Bee.

2. Registration
-
Registration Deadline: All participants must register by September 1st, 2025 to ensure inclusion in the competition.

Complete Information: Participants must provide accurate and complete details on the registration form, including name, age, school, emergency contact information, and any special requirements.

Festival Registration: All Spelling Bee participants must also register for The KidLit Fest and pay the applicable commitment fee. Participation in the Spelling Bee is valid only after completing this registration step.
3. Event Details

Date: The Spelling Bee will take place on December 6th, 2025, during The KidLit Fest.

Schedule:

Morning Session: Initial rounds of the Spelling Bee competition.

Finale: The final round of the competition will take place before the balloon drop.

4. Rules of the Competition
-
Format: Participants will be asked to spell words aloud during the competition. The difficulty level will vary based on age and grade.

Disqualification: Any participant found to have engaged in dishonest practices, such as receiving external help during the competition, will be disqualified.

Time Limits: Participants will be given a limited amount of time to spell each word. If a word is not spelled correctly within the allotted time, the participant will be eliminated.

Judging: Judges will be responsible for ruling on correct spelling and managing the competition.
5. Participation Requirements

Parental Consent: All participants under the age of 18 must have written consent from a parent or guardian to participate.

Health & Safety: Parents/guardians are responsible for ensuring that their child is physically and mentally prepared for participation. Participants should arrive on time and ready to compete.

Liability Waiver: By participating in the Spelling Bee, parents/guardians agree to release The Kid Lit Foundation, its employees, volunteers, and partners from any liability or claim resulting from accidents, injuries, or other incidents that may occur during the event.
6. Prizes and Recognition

Prizes: Prizes will be awarded to top performers in the competition. Details of the prizes will be announced closer to the event.

Certificates: All participants will receive an E-certificate of participation.

Public Recognition: The Kid Lit Foundation reserves the right to use the names and images of participants for promotional purposes (e.g., social media, press releases, event materials).
7. Code of Conduct

Respectful Behaviour: Participants are expected to conduct themselves respectfully and professionally throughout the event. This includes interacting positively with fellow participants, volunteers, and event organizers.

Audience Behaviour: Parents, teachers, and audience members are asked to support participants in a respectful manner, refraining from disrupting the competition.
8. Photography and Media

Media Consent: By participating in the Spelling Bee, you consent to photographs, videos, and/or audio recordings being taken during the event. These materials may be used by The Kid Lit Foundation for marketing, social media, or future promotional purposes.
9. Privacy Policy

Data Protection: The Kid Lit Foundation respects the privacy of participants and will handle all personal data in accordance with its privacy policy. Personal details will be used solely for event-related purposes and will not be shared with third parties without consent.
10. Amendments

Changes to Terms and Conditions: The Kid Lit Foundation reserves the right to modify or update the terms and conditions at any time. Any changes will be communicated to participants.
